Privacy Policy

This Privacy Policy explains how dtn.tech (“we,” “us,” or “our”) collects, uses, and protects information in connection with this conference sponsor portal (the “Portal”). It applies to sponsors, their team members, administrators, and anyone else who accesses the Portal. By using the Portal you acknowledge the practices described here.

1. Information we collect

We collect the following categories of information:

  • Account and profile information — your name, email address, job title, and phone number, used to create and identify your account.
  • Company and sponsorship information — your organization’s name, industry, addresses, points of contact, sponsorship tier, logo, and related details you or an administrator provide.
  • Content you submit — files and documents you upload, responses to tasks and forms, booth selections, messages and comments you exchange through the Portal, and electronic signatures. When you sign a document electronically we record your name, email address, IP address, and a timestamp as evidence of the signature.
  • Usage and security information — sign-in events, IP address, browser and device information, and an activity log of actions taken in the Portal. For documents and signed receipts, we also record who downloaded them, when, and from which IP address and browser, as a chain-of-custody record. We keep this information to operate the service, troubleshoot, and maintain security and an audit trail.
  • Communications — emails sent to and from the Portal, including automated notifications and task reminders we generate, and replies routed through our email provider, along with their content.

2. How we use information

  • To provide, operate, and maintain the Portal and your account.
  • To authenticate you through magic-link / one-time sign-in emails.
  • To manage sponsorship tasks, submissions, approvals, and booth assignments.
  • To communicate with you about your sponsorship, deadlines, and the event.
  • To send automated reminder emails about upcoming and overdue tasks.
  • To maintain security, prevent abuse, and keep an audit trail of activity.
  • To comply with legal obligations and enforce our Terms of Use.

3. Cookies and similar technologies

The Portal uses only the cookies and local storage strictly necessary to keep you signed in and to remember basic preferences (such as whether you have dismissed a one-time notice). We do not use advertising cookies or third-party tracking, and we do not use the Portal to build advertising profiles.

4. How we share information

We do not sell your personal information. We share information only as needed to operate the Portal:

  • Service providers (processors) — we rely on trusted vendors to host and run the Portal, including a database, authentication, and file-storage provider (Supabase), an application-hosting provider (Vercel), and an email-delivery provider (Resend). These providers process information on our behalf under their own security and privacy commitments.
  • Event administrators — administrators of the event can see the sponsorship information, submissions, and communications associated with your account in order to coordinate the event. For support purposes, an administrator may also temporarily access the Portal as your account (a “sign in as” session); such access is recorded in our activity log.
  • Legal and safety — we may disclose information if required by law, to respond to lawful requests, or to protect the rights, safety, and property of dtn.tech, our users, or others.

5. Data retention

We retain information for as long as your account is active and as needed to provide the Portal, coordinate the event, and meet legal, accounting, or reporting requirements. After the event, we may retain an archive of communications, files, and statuses for record-keeping. We delete or anonymize information when it is no longer needed for these purposes. Certain security, audit, and electronic-signature records are kept on a longer or indefinite basis to preserve their integrity as a reliable record and to meet legal-evidence requirements.

6. Security

We use technical and organizational safeguards designed to protect your information, including encryption in transit, access controls, database-level isolation so each sponsor sees only their own data, and time-limited links for file downloads. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your choices and rights

Depending on where you live, you may have rights to access, correct, update, or delete your personal information, or to object to or restrict certain processing. You can review and update much of your profile and company information directly in the Portal. To make any other request, contact us at info@dtn.tech. We do not sell personal information, and we will not discriminate against you for exercising your rights.

8. International users

The Portal is operated from, and information is processed in, the United States. If you access the Portal from another country, you understand that your information will be transferred to and processed in the United States.

9. Children’s privacy

The Portal is intended for business use by sponsors and event staff and is not directed to children. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you within the Portal. Your continued use of the Portal after an update means you acknowledge the revised policy.
